Hiring the Hayloft Form spaces for events and activities at Highway Hill is through a team member on enquiries@highwayhill.co.uk
A deposit of 25% reserves your dates. This is non-refundable but is transferable at the discretion of the Highway Hill management.
A refundable holding deposit of £50 will be taken for any damages or losses.
A Booking Form will need to be completed.
Invoices will be issued after a booking is made, and they should be paid in full on receipt and at least one month before the event takes place. Highway Hill will issue a 75% refund if the booking is cancelled a month or more in advance, 50% refund if cancelled a week to one month in advance, and no refund if cancelled less than a week in advance.
All hirers should provide the following to Highway Hill to keep on file prior to the first use of the space:
Valid insurance certificate
Risk assessment documentation
Qualifications
First Aid certificate
Recent DBS (if working with children or vulnerable adults)
Professional accreditation
Hirers should conduct their own risk assessments of the space before first use and do safety checks before every use of the space to take account of changing weather conditions and so on.
Hirers are responsible for ensuring the safety and wellbeing of their clients during the event or activity.
Hirers will be mindful of other activities taking place at Highway Hill at the same time and be appropriately respectful of the needs of other practitioners.
If there are any drastic changes to the activities taking place from what has been previously agreed Highway Hill must be informed and the relevant activities will have to be negotiated.
The spaces and facilities should be left clean and tidy, in a state that other hirers would wish to find them in.
When using outdoor spaces and other natural resources, care should be taken at all times to protect the flora and fauna in the area.
The spaces will be inspected by Highway Hill staff after use and any damages will be invoiced to the relevant hirer. If damages are not paid, then permission for booking may be suspended until such time as the situation has been rectified and any costs will be claimed legally.
If weather conditions present a safety concern or make the site inaccessible, we appreciate that the hirer may be forced to cancel an event at short notice. In this instance, an 80% refund will be issued. Alternatively, hirers can rearrange the booking at no additional cost.
Hirers should use the Highway Hill name and logo in any marketing materials such as a website or leaflets and interact with Highway Hill on social media (e.g. through ‘tagging’ us on Facebook and Instagram) if used. Hirers can expect Highway Hill to use its marketing platforms to promote and support booking partners.
